Will I be kept informed during the project or do I just wait for the result?

This is one of the most important questions you can ask any construction or finishing company, and the fact that you are asking it suggests you may have experienced the alternative — hiring a contractor, handing over a deposit, and then hearing very little until the work is supposedly done, at which point you discover things that are not quite right but feel difficult to change. At Xmun Projects, we believe that communication is not an extra service; it is a fundamental part of how we work. From the very first phone call to the final walkthrough of your completed project, you will be informed, involved, and in control.

Our five-step process is specifically designed to keep you in the loop at every stage. Here is exactly how it works.

Step 1: Site Visit

Every project begins with a personal site visit. This is not a quick glance at your property followed by a number scribbled on the back of an envelope. One of our team will come to your home, office, or development site in Gozo or Malta to carry out a thorough assessment. We look at the current condition of the property, discuss your goals and preferences, take measurements, and identify any potential challenges — such as existing damp issues, structural concerns with older limestone walls, or access difficulties that might affect scaffolding or material delivery.

This visit is also your opportunity to ask questions, share reference images of what you have in mind, and get an honest, professional opinion on what is realistic within your budget and timeframe. We find that this face-to-face conversation at the very start prevents misunderstandings down the line and sets the foundation for a smooth working relationship.

Step 2: Quotation

Based on what we learn during the site visit, we prepare a detailed written quotation. This is not a vague estimate. It breaks down the scope of work by trade and area, so you can see exactly what is included, what materials are specified, and what each element costs. If there are options — for example, choosing between standard and premium tiling, or deciding whether to include gypsum ceiling features — we present these clearly so you can make informed decisions.

You are welcome to ask for clarification on any line item. We would rather spend time explaining the quotation thoroughly than have you agree to something you do not fully understand. There is no pressure to accept immediately, and we are happy to revise the scope if your priorities or budget change after reviewing the numbers.

Step 3: Planning

Once you approve the quotation, we move into the planning phase. This is where our team maps out the full sequence of works, schedules each trade, orders materials, and establishes a realistic timeline for completion. For larger projects, we may provide a written schedule showing key milestones — for example, when demolition will be complete, when waterproofing will be applied, when tiling will begin, and when you can expect the final coat of paint.

Planning also involves practical logistics. In Gozo and Malta, factors like narrow village streets, limited parking for delivery trucks, festa season road closures, and even the timing of heavy rain can affect a project schedule. Our team accounts for these local realities because we work with them every day. We will discuss the plan with you and confirm a start date that works for both sides.

Step 4: Execution

This is where the real work happens, and it is also where communication matters most. At Xmun Projects, you are assigned one dedicated contact person for the duration of your project. This means you are not ringing around trying to reach different tradesmen or leaving messages that never get returned. You have a single phone number and a single person who knows exactly what is happening on your site at any given time.

During the execution phase, your contact person will keep you updated on progress, flag any issues that arise, and consult you on any decisions that need your input. If, for example, we open up a wall and discover unexpected damage or old plumbing that needs attention, we will discuss it with you before proceeding rather than making assumptions on your behalf.

We also practise what we call visual proof of work. Throughout the project, we take photographs documenting key stages of the work. This is especially valuable for elements that will be hidden once the project is finished — waterproofing membranes beneath tiles, insulation behind gypsum partitions, drainage connections beneath floors. These photos give you a permanent record of what was done and provide peace of mind that the work behind the walls is as solid as the finished surface you see every day.

For clients who are not on the island during the works — which is common with property owners who live abroad but own holiday homes or rental properties in Gozo — photo updates are particularly important. We can share progress images via WhatsApp, email, or whatever method suits you best, so you can follow your project from anywhere in the world.

Step 5: Final Inspection

When the work is complete, we do not simply hand over the keys and disappear. We arrange a final walkthrough with you, going through every room and every element of the finished project together. This is your opportunity to inspect the quality of the work up close, test fixtures, check finishes, and raise any concerns or touch-ups you would like addressed.

We take this step seriously because we know that small details matter. A paint drip on a skirting board, a grout line that is not perfectly consistent, a gypsum edge that needs a final sand — these are things that are easy to fix at this stage but become frustrations if they are left unaddressed. Our goal is for you to be completely satisfied before we consider the project closed.
